1. Purpose and scope

Interstitium is a scientific publication series operated by the Centro Rausenbach de Análisis e Investigación (CRAI), a division of the Fundación Casa Ducal de Rausenbach.

This Privacy Policy explains how personal data are collected and processed in connection with the Interstitium website, its publications, correspondence and, where available, subscription services.

It applies to:

• visitors to the Interstitium website;
• persons who contact Interstitium or CRAI;
• subscribers to Interstitium communications;
• authors, researchers and contributors whose professional information is processed or published through Interstitium.

This Policy concerns the operation of the website and publication platform. Personal data collected as part of a research study are governed by the specific participant information, consent documentation and ethical framework established for that study.

References in this Policy to “Interstitium”, “CRAI”, “we” or “us” refer to the controller acting through the Interstitium publication platform.

3. Principles governing data processing

Personal data are processed lawfully, fairly and transparently. We collect only data that are relevant and necessary for defined purposes, retain them only for as long as those purposes or applicable legal obligations require, and take reasonable measures to maintain their accuracy, confidentiality and security.

Interstitium does not sell or rent personal data.

4. Data we process

4.1 Website access and technical operation

When the website is accessed, the web server and security systems may automatically process technical information such as:

• IP address;
• date and time of access;
• requested pages and files;
• referring page;
• browser and device information;
• operating system;
• technical errors and security events.

These data are processed to deliver the website, maintain its technical stability, diagnose errors, prevent misuse and protect the website and its infrastructure.

The legal basis is our legitimate interest in providing a secure and functional scientific publication platform, pursuant to Article 6(1)(f) of the General Data Protection Regulation (“GDPR”).

Technical and security logs are retained only for the period reasonably necessary for website operation, troubleshooting and security monitoring. Relevant records may be retained for longer where required to investigate a security incident, establish legal claims or comply with a legal obligation.

4.2 Contact and correspondence

If you contact Interstitium or CRAI by email or through the CRAI contact form, we may process:

• first and last name;
• email address;
• professional title or affiliation;
• type of organisation or enquiry;
• the content of your message;
• related correspondence and technical submission data.

These data are used to respond to enquiries, manage scientific or institutional correspondence, evaluate proposed collaborations and maintain an appropriate record of communications.

The legal basis is our legitimate interest in responding to communications addressed to us, pursuant to Article 6(1)(f) GDPR. Where an enquiry concerns a possible agreement or collaboration, processing may also be necessary in order to take steps at the request of the person concerned before entering into an agreement, pursuant to Article 6(1)(b) GDPR.

Ordinary enquiries are normally retained for no longer than twelve months after they have been resolved. Correspondence connected with an agreement, legal obligation, dispute or continuing scientific collaboration may be retained for the applicable contractual or statutory period.

4.3 Email subscriptions

Where Interstitium offers an email subscription service, we may process:

• email address;
• name, if requested;
• subscription preferences;
• date, time and source of consent;
• subscription confirmation and withdrawal records;
• delivery, bounce, opening and link-interaction information, where these functions are enabled.

These data are processed to send publications, research updates and other Interstitium communications requested by the subscriber, and to maintain the technical reliability of the mailing list.

The legal basis is the subscriber’s consent under Article 6(1)(a) GDPR. Subscription is voluntary and consent may be withdrawn at any time by using the unsubscribe link included in each communication or by contacting us at info@crai.es.

Subscription information is retained until consent is withdrawn. A limited suppression record may subsequently be retained to ensure that the withdrawal is respected and to demonstrate compliance with applicable law. Aggregated or effectively anonymised campaign statistics may be retained without identifying individual subscribers.

Email subscriptions may be technically managed through Hostinger Reach or another contracted email-service provider acting on our instructions.

4.4 Scientific publication and attribution

In connection with scientific essays, research commentaries, and invited responses, Interstitium may process professional information including:

• author or contributor name;
• institutional affiliation;
• academic title;
• ORCID or comparable scholarly identifier;
• professional biography and contact details;
• authorship and contribution information;
• declarations of interests;
• editorial correspondence;
• publication history, corrections and retractions.

These data may be provided by the person concerned, by a collaborating institution or obtained from public scholarly sources.

They are processed to identify authors and contributors, administer publication activities, provide accurate attribution, document provenance and maintain the reliability and integrity of the scholarly record.

The legal bases are the performance of an agreement with the author or contributor, where applicable, under Article 6(1)(b) GDPR, and our legitimate interest in scientific communication, accurate attribution and preservation of the scholarly record under Article 6(1)(f) GDPR.

Professional information intentionally included in a publication is publicly accessible and may be indexed, cited, archived or cached by search engines, libraries, repositories and other third parties worldwide. Published bibliographic information and records of corrections or retractions may be retained indefinitely where necessary to preserve the integrity of the publication record.

Interstitium does not currently operate an open manuscript-submission or peer-review portal. If such a system is introduced, this Policy will be updated before personal data are collected through it.

4.5 Cookies, analytics and external content

The website uses strictly necessary technologies to operate, protect the site and remember users’ privacy choices.

Optional analytics, external-media or comparable technologies are used only where they have been enabled and, where required, after the user has provided consent. Consent may be withdrawn or changed at any time through the website’s cookie settings.

Interstitium does not use personal data for advertising-based profiling or automated behavioural targeting.

5. Sensitive information

The general contact form and email address are not intended for the transmission of medical records, genetic information, identifiable research-participant data or other special-category personal data.

Please do not send such information unless it has been specifically requested and an appropriate secure procedure has been established. Unsolicited sensitive information will normally be deleted where there is no lawful and necessary reason to retain it.

6. Recipients and service providers

Personal data may be accessible to:

• authorised members of the Fundación Casa Ducal de Rausenbach and CRAI who require access for the purposes described above;
• hosting, email, security, website-maintenance and newsletter providers acting as data processors;
• professional advisers where access is necessary for legal, accounting or compliance purposes;
• competent public authorities where disclosure is required by law;
• the general public, search engines, scholarly services and archives where professional information is intentionally published as part of the scholarly record.

The website and associated email or subscription infrastructure may use services provided by Hostinger International Ltd and its authorised subprocessors.

Service providers may process personal data only for the agreed purposes and subject to appropriate contractual, confidentiality and security obligations.

7. International data transfers

Some technical providers or their subprocessors may process data outside the European Economic Area.

Where personal data are transferred to a country that has not been recognised as providing an adequate level of protection, we use an appropriate legal transfer mechanism, such as the European Commission’s Standard Contractual Clauses, together with supplementary safeguards where necessary.

Publicly available author and publication information may be accessed from any country once it has been published online.

8. Whether providing data is mandatory

Browsing publicly available Interstitium content does not require users to identify themselves.

Fields marked as required in a contact or subscription form are necessary to process the relevant request. If the required information is not provided, we may be unable to respond to the enquiry or complete the requested subscription.

Newsletter subscription and the provision of non-essential information are voluntary.

9. Your rights

Subject to the conditions established by applicable data-protection law, you may request:

• access to your personal data;
• correction of inaccurate or incomplete data;
• erasure of your data;
• restriction of processing;
• objection to processing based on legitimate interests;
• portability of data processed automatically on the basis of consent or contract;
• withdrawal of consent at any time.

Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

Requests may be sent to info@crai.es, preferably with the subject line “Data Protection Request”. We may request information necessary to verify the identity of the person making the request. Any identity document requested for this purpose should contain only the information necessary for verification.

Rights relating to information forming part of the public scholarly record will be assessed in light of applicable data-protection law and the legitimate need to preserve accurate authorship, citation, correction and publication records.

10. Automated decision-making

Interstitium does not use personal data to make decisions based solely on automated processing that produce legal or similarly significant effects. We do not carry out automated profiling of website visitors, correspondents, subscribers, authors or contributors.

11. Children’s privacy

Interstitium is a scientific publication platform intended primarily for adult and professional audiences. It is not directed specifically at children and does not knowingly request personal data from children under fourteen years of age.

Where processing is based on consent and the person concerned is under fourteen, consent must be provided or authorised by the holder of parental responsibility, as required by Spanish law.

12. Data security

We apply proportionate technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, loss or destruction.

However, no internet-based system can guarantee absolute security. Users should therefore avoid transmitting confidential or sensitive information through ordinary email or general contact forms.

13. External links

Interstitium contains links to scientific journals, repositories, institutions and other external websites. Once a user follows an external link, the processing of personal data is governed by the privacy policy of the external service.

Interstitium is not responsible for the data-processing practices of independently operated third-party websites.

14. Changes to this Policy

This Privacy Policy may be updated when the website, its services or applicable legal requirements change. The date of the latest revision will be stated at the beginning of the Policy.

Where a change materially affects processing based on consent, new consent will be requested where required.
